Trial signup details
When you select Continue on the first signup step, we save your name, business name and email, together with your chosen plan, pricing region and website language. We use these details to prepare your trial registration and handle related support. No form-field values are saved while you are only typing, and no password is collected at this stage.
We process these details to take steps at your request before a subscription and to protect registration from abuse. Submitting the signup form or acknowledging this Privacy Policy does not subscribe you to marketing emails. If you separately select the optional reminder checkbox, we record your choice, the exact wording and its version, and the time. This permits up to two emails with reminders and setup tips about that trial request. You can unsubscribe in either email or contact support@staff-wing.com. Earlier submissions without this choice are not enrolled.
Authorised Staff Wing team members can see these signup details, when they were submitted, the privacy notice version and whether an account or trial has been started. These records are not sold or sent to advertising platforms.
The separate signup contact record expires after 30 days and is removed during routine cleanup. If you create an account, the account and billing records follow the retention rules described below. You can request access, correction or deletion by emailing support@staff-wing.com.

Sales enquiries
When you contact our sales team, we save your enquiry and contact details in our CRM so we can respond and help you get started. Optional product-update permission is recorded separately and can be withdrawn at any time. Our sales assistant may use OpenAI to help understand your enquiry and prepare a relevant response, and Resend to deliver email. Authorised staff can review the conversation; the assistant cannot make special pricing or contractual commitments.
Your workplace and Staff Wing
Your employer decides how workplace information is used and who can access it. Staff Wing provides the software and processes workplace records to deliver that service. We also use account and security information to operate and protect the platform. Ask your employer about its workplace privacy notice and retention requirements.
Information used
This can include your name, email, account identifiers, optional profile photo, team messages, community posts, employment documents, schedules, attendance, availability, training, task activity, checklist photos and comments, issue reports, HR requests, leave balances, employment review records, contract signatures and job applications including CVs. Health or other sensitive information may be present if you submit it in HR. Submit only what is necessary. Device notification tokens are stored when you enable push alerts. Security and service records are used to troubleshoot and prevent abuse.
Staff Wing Dagtilbud — fictional demo
Demo notice: 2 November 2026.
Dagtilbud is for adult institution staff and parents in Denmark; children have no login accounts. Access is currently restricted to one fictional demonstration institution and its authorised adult demo accounts. Real-institution registration and activation remain closed. Do not enter real children’s or families’ information in the demo.
The tools support child profiles, enrollment, attendance and pickup arrangements, adult contacts, messages, daily updates, calendars, permissions and private photos. Essential care details, including allergies, have separate access restrictions and encrypted storage; not every database field is encrypted by the application. Access is checked against the institution, role, assigned rooms and verified parent relationship. Photos attached to daycare updates are privately stored, stripped of metadata and reviewed by an authorised adult before publication.
Private daycare pages and records are excluded from advertising measurement and cross-site tracking. The daycare help assistant works within Staff Wing and sends no questions, child records, messages, photos or care details to an external AI provider. The separate optional staffing-analysis integration is disabled in the demo; its permitted input consists only of aggregate numeric staffing patterns.
Assistant history can be cleared by its user and expires after 30 days. Expired updates and photos can become inaccessible before stored copies are removed. Complete automatic deletion of demo records is not enabled. Signing out, archiving a child or deleting an account does not automatically erase attendance, permission, care or audit history. Requests for access, correction or deletion require review; backups and downloaded copies have separate retention limits. Contact support@staff-wing.com.

Dagtilbud er til voksne medarbejdere og forældre i danske daginstitutioner; børn har ingen login-konti. Adgangen er i øjeblikket begrænset til én fiktiv demoinstitution og dens godkendte voksne demokonti. Registrering og aktivering af rigtige institutioner er fortsat lukket. Indtast ikke oplysninger om virkelige børn eller familier i demoen.
Værktøjerne understøtter børneprofiler, indskrivning, fremmøde og henteaftaler, voksnes kontaktoplysninger, beskeder, daglige opdateringer, kalendere, tilladelser og private billeder. Nødvendige omsorgsoplysninger, herunder allergier, har særskilte adgangsbegrænsninger og opbevares krypteret; ikke alle databasefelter krypteres af applikationen. Adgangen kontrolleres ud fra institution, rolle, tildelte stuer og den bekræftede forældrerelation. Billeder vedhæftet dagtilbuddets opdateringer opbevares privat, får fjernet metadata og gennemgås af en autoriseret voksen før deling.
Private dagtilbudssider og deres oplysninger er udelukket fra annoncemåling og sporing på tværs af websites. Dagtilbuddets hjælpeassistent fungerer internt i Staff Wing og sender ikke spørgsmål, børneoplysninger, beskeder, billeder eller omsorgsoplysninger til en ekstern AI-udbyder. Den separate, valgfrie integration til bemandingsanalyse er slået fra i demoen; den må kun modtage samlede numeriske mønstre for fremmøde og bemanding.
Brugeren kan rydde sin assistenthistorik, og den udløber efter 30 dage. Udløbne opdateringer og billeder kan blive utilgængelige, før de gemte kopier fjernes. Fuld automatisk sletning af demooplysninger er ikke aktiveret. Logud, arkivering af et barn eller sletning af en konto sletter ikke automatisk historik om fremmøde, tilladelser, omsorg eller revisionsspor. Who can see it
Access depends on your workplace role and location. HR requests are visible to the requester and authorised handlers; sensitive categories are restricted to business owners. Requests are not anonymous. Job applications and CVs are available to the business owner and authorised recruitment managers. Contract signatures record the signed file version, signer and time. Team content is shared with its selected audience. Private AI history is yours unless you explicitly share a question for help. Platform safety reports share the reported content with authorised platform reviewers.
Service providers and AI
Hosting and database services use Render, file storage uses Cloudflare R2, transactional email uses Resend, and mobile notifications use Expo and the operating system’s push services. For self-service subscriptions, Stripe receives the business and account-holder details needed to manage checkout, invoices and recurring payments. We store billing identifiers and subscription status, not full card details. When you permit AI sharing, OpenAI processes your questions, up to two recent supported exchanges from the same private conversation, and relevant approved document passages. Authorised uploads included for AI are processed for indexing. When an authorised manager requests an AI course draft, the selected approved document is sent to OpenAI for that purpose; the draft requires human approval. HR attachments are not automatically indexed. These providers may process information outside your country under their applicable service arrangements.
Restaurant assistant and voice conversations

Restaurant owners and managers who enable AI sharing can separately allow Staff Wing to send relevant restaurant records to OpenAI to answer their questions. These may include staff names and clock-in and clock-out times, ingredient purchase prices and stock quantities. Access depends on the restaurant, the user’s role and their assigned locations. You can turn restaurant data sharing off in the assistant.
Voice is optional. When you start voice and allow microphone access, Staff Wing sends your spoken question to OpenAI for transcription. The transcript of a submitted question and the assistant’s reply are saved in your private conversation history for that workspace. Staff Wing checks your current permissions before showing restricted restaurant details in a saved reply.
When reading a reply aloud, Staff Wing uses a voice on your device if one is available in your language. Otherwise it may send the saved reply text to OpenAI to generate speech. Staff Wing processes the audio temporarily and does not retain recordings of your questions or spoken replies.
Your choices
You can change your profile photo, choose whether to enable phone or web notifications, and manage AI consent in Account & privacy. You can request permanent account deletion there without calling or emailing support, or use the account deletion instructions without the app. We aim to complete it within 30 days and explain any legally required retention. Disabling AI sharing stops future requests from your account but does not erase earlier processing.
Retention and requests
Workplace information is kept to provide the service and meet applicable employer and legal obligations. Retention varies by record type; account deletion includes review of associated personal content, storage and any lawful exceptions. Backups may retain information until their configured expiry. Contact support@staff-wing.com for access, correction, export or privacy questions. Your employer may need to handle employment-record requests.
Web notifications
If you enable web notifications, we store your browser push subscription endpoint and encryption keys, linked to your signed-in account and session. Your browser’s push provider, such as Apple, Google or Mozilla, delivers encrypted alerts. While your website session remains authorised, web alerts may show the sender, conversation name and a short message preview, or relevant schedule and task details. Your device’s notification settings control what appears on the lock screen. These details are retrieved directly from Staff Wing after checking your current access; sensitive HR and issue contents are not included in previews. You can turn off web notifications in Your preferences or your browser/device settings. Signing out disconnects future alerts for that website session; an alert already in transit may still arrive with generic text.
Clock-in location checks
A workplace can choose to check location when people clock in or out with the app at one of its locations. When it does, Staff Wing asks your browser for a single location reading at the moment you tap Clock in or Clock out, and uses it only to work out how far you are from that workplace’s map pin. We keep the distance and the reading’s reported accuracy with your attendance record, plus any reason you give if you send a clock-out for review. We don’t store your coordinates, track your location in the background, or share it with advertising or analytics services. Your managers can see this information for the locations they manage. Owners and managers set workplace map pins; the map is drawn with OpenStreetMap, whose servers receive the map area being viewed and any address searched for.
Staying signed in
We use a necessary, first-party sign-in cookie to keep you signed in when you return to Staff Wing. It is inaccessible to page scripts and lasts for up to 400 days, renewed while you use your account. Signing out revokes that session; password reset or account revocation can also require a new sign-in. Clearing browser data, private browsing or your browser’s own storage limits may end the session sooner. Sign out when using a shared device.
Security and advertising
We use encrypted transport, account permissions and restricted storage. Sensitive HR request text and attachments are encrypted at rest by the application. No service can guarantee absolute security. We do not sell your personal information. The employee workspace and mobile app do not use advertising tracking.
Aggregate page-request counts
When a public marketing or signup page is requested, our server adds to a daily total for that page category and a broad source category, whether optional cookies are accepted, rejected or not yet chosen. This uses the ordinary page request: it does not set or read measurement cookies, access browser storage, send an extra tracking request or create a visitor identifier. These counters do not store IP addresses, browser details, raw URLs, referrers or ad-click identifiers. They cannot identify a person, link requests into a journey, measure time on site or connect a request to a signup. Reloads and repeat requests can count again; known crawlers and prefetch requests are excluded where recognised, and cached pages or failed counting can leave totals incomplete. Totals are retained for up to 30 days to help us understand public page traffic. The separate country, active-time and signup-journey measurement below still requires your optional choice.
Optional signup journey measurement
Only after you accept optional measurement, we use a random per-tab session identifier to record page category, broad traffic source, device category, signup stage, error category, approximate country and active time on public pages. Country is estimated from the network connection and may be inaccurate, for example when a VPN is used. Any IP lookup happens locally on our server; IP addresses, precise location, typed field values and full URLs are not stored in these journey records. Active time counts while the page is visible and focused, and pauses after 60 seconds without interaction. Background time is not counted, and browser interruptions can leave the measurement incomplete. When you select Continue, this journey can be linked to your saved signup contact to measure whether an account and trial were actually created. Records are kept for up to 30 days. Authorised CRM managers can see aggregate reports and recent browser-tab journeys, including their approximate country and measured active time. Visitors who decline are not included, so this is a sample rather than a complete visitor count. Withdrawing consent stops collection and clears the browser’s journey identifier.
Optional website measurement cookies
On our public website and trial signup pages, we use Google Ads only if you accept optional measurement cookies. This helps attribute saved signup details and completed free trials to our ads as separate events. Google may receive ad-click identifiers, cookie and device/network information and a random-looking conversion identifier used to avoid counting the same event twice. We do not send names, email addresses, payment details or workplace content to Google for this purpose, and personalised advertising and enhanced conversions are disabled. Google may process this information internationally under its privacy policy. You can reject optional cookies or change your choice using Cookie settings on these pages. Your choice is remembered for up to 180 days. Withdrawing consent stops future measurement; it does not undo earlier processing.
