Scheduling

Staff rota template for UK restaurants, cafés and pubs

A useful staff rota template makes each shift unambiguous: who is working, where they should be, their role and the start and finish dates. You can begin with a spreadsheet or a printed table. The important part is keeping one current version and checking coverage before sharing it with the team.

Choose a layout you can update clearly

A weekly grid is convenient for seeing the whole team, while a row-per-shift sheet is easier to sort by day, role or venue. Choose the format that helps you spot your most common scheduling problem. If you manage two venues, location should be an explicit field rather than something people infer from the filename.

Use dates alongside day names. A screenshot labelled “Friday” becomes confusing once it is forwarded the following week. Record a week commencing date, the responsible manager and a version number at the top. A simple change log makes it easier to answer whether someone is looking at the latest rota.

Copy this weekly rota structure

These are fictional sample shifts to demonstrate the layout, not recommended staffing levels. Add your own people, roles and hours, and check the full week against availability, leave, skills and relevant working arrangements. The break column records the plan; actual breaks belong in the time record.

A TEMPLATE TO MAKE YOUR OWN

WEEKLY STAFF ROTA
Week commencing: [Monday date]
Venue / timezone: [details]
Prepared by: [manager]
Version and published at: [number / date / time]

For each shift record:
Date | Employee | Role | Location | Start | Finish date and time | Planned break

Open shifts needing cover: [details and action owner]
Changes after publication: [shift / change / approved by / confirmation]
Authoritative rota location: [link or shared location]

Check availability and skills before publishing

Enter approved leave and confirmed availability before assigning people. Then place the roles with the fewest suitable employees, such as a trained opener or closing supervisor. Fill supporting shifts after the essential roles are covered.

Review the busiest service periods, not just the daily total. Six people working on Saturday does not mean six people are present during the dinner peak. Check preparation, breaks, handovers and close separately. A template organises the information; it does not decide whether the coverage is workable.

Handle overnight shifts and changes explicitly

For a shift finishing after midnight, show the finish date or clearly label “next day”. A 01:00 finish entered against the wrong date can create a confusing schedule and an incorrect duration calculation. Confirm the timezone for any business operating across locations in different regions.

After publication, update the master record and tell the affected people what changed. Do not circulate a fresh screenshot without explaining that it replaces the earlier version. Keep offers of cover separate from approved replacements until the employee and manager have confirmed the arrangement.

Know when a spreadsheet rota becomes hard to manage

A spreadsheet can be a sensible starting point for a small team with stable patterns. Its limits become visible when several managers edit it, requests arrive in different channels or employees repeatedly ask which version is current. Judge the process by those problems rather than assuming every business needs to switch immediately.

Staff rota software can connect the published schedule with availability and cover workflows. Staff Wing supports those workflows alongside tasks and time records. If you are evaluating a move, test one complete week and a late change before deciding whether the new process is genuinely easier for your team.
