List the work that still needs manual attention
Write down the problems you want to solve before viewing demos. Are managers chasing availability, reconciling time records, finding current procedures or forwarding HR requests? Rank the problems by their operational impact and the number of people affected.
Keep what works in your current process. If scheduling is already reliable but onboarding is scattered, focus the trial on how training and employee access improve. Switching every workflow at once can introduce unnecessary disruption without proving the most important benefit.
Run realistic tasks from different roles
Test the owner, manager and employee experience separately. A feature that is easy for an administrator may still be hard to find on an employee’s phone. Use fictional data first and check permissions before introducing actual employee records.
Give each tester an outcome instead of a guided sequence of clicks. Ask an employee to find next week’s shift or submit an availability change. Watch where they hesitate. If every task requires someone to explain the navigation, include that training effort in your decision.
| Trial task | Evidence to collect |
|---|---|
| Publish and change a shift | Employee can find the current version |
| Request cover | Acceptance, approval and rota update are clear |
| Correct a time entry | Reason, review and resulting record are visible |
| Submit a private HR request | Only the intended roles can view it |
| Assign starter learning | Employee finds it; manager sees progress |
| Find approved guidance | Current source is easy to identify |
Check the boundaries behind feature names
Ask what “payroll”, “AI” and “integrations” mean in the actual product. An export is not the same as automatically running payroll. An assistant answering handbook questions is different from an agent changing records. A provider logo does not establish that the precise connection you need is available.
Request a demonstration of the specific file, approval or connection you expect to use. Check permissions and failure behaviour as well as the successful path. Find out what happens if an employee loses access or an integration stops responding.
Compare the whole subscription and rollout
Confirm how headcount is counted, which roles need paid access, the available location setup and whether AI is optional. Check trial length, card requirements, renewal terms, cancellation and any applicable tax. Compare current written terms rather than a remembered price from an advert.
Estimate the practical work of moving: cleaning employee details, importing the rota, reviewing guides, inviting staff and teaching the first workflows. Name the person responsible for each step. A simple staged rollout is usually easier to evaluate than switching everything during your busiest service.
Choose using a scorecard, not the presentation
Score each must-have workflow as works independently, works with assistance or does not meet the requirement. Record the gap in plain language and decide whether it is acceptable. Treat a missing essential requirement differently from a cosmetic preference.
Staff Wing combines schedules, availability, timesheets, HR, team communication, tasks and learning, with optional AI features. Use the same trial checklist for Staff Wing and any alternative. Start with one location or a small representative group, and expand only after the people using it can complete the important workflows.
