How to review hospitality timesheets before payroll

A rota records planned work. A timesheet records reported working time. A payroll process uses reviewed records and the applicable pay rules. Treating these as separate stages makes it easier to find mistakes without silently turning the schedule into a record of what happened.

Keep planned and actual time visible together

Compare the scheduled start and finish with the recorded clock-in, clock-out and break. A difference is a question to investigate, not proof that either record is wrong. Service may have run late, an employee may have covered a colleague or a clock event may be missing.

Review the shift location as well as the date. For teams working across venues, an entry attributed to the wrong location can distort the manager’s staffing review even if its duration is correct. Check the timezone before interpreting an apparently unusual start.

Resolve exceptions before approving the period

Work through missing clock events, overlapping entries, unusually long shifts and break discrepancies. Ask the employee and supervising manager for the relevant facts. Keep the reason for a correction with the record so a later reviewer can understand it.

Do not overwrite actual time simply to match the rota. An approval should mean the record has been reviewed, including any correction, rather than merely that it looks tidy. Give employees a way to raise a mistake and tell them where to see the outcome.

Check overnight shifts and duration calculations

Illustrative example: a shift starts at 18:00 and finishes at 01:00 the next day. The elapsed time is seven hours. If the record includes a 30-minute unpaid break, the resulting duration is six hours and 30 minutes. Whether a break is paid depends on the applicable arrangements; do not assume every break should be deducted.

Store the finish date as well as its time. Also inspect shifts that cross a clock change, where subtracting wall-clock times without timezone awareness can give the wrong duration. Test these cases before relying on a new export routine.

Use a clear review cut-off

Set a time for employees to raise corrections and for managers to finish reviewing the pay period. Explain how late corrections will be handled. A cut-off should organise the process without making genuine errors impossible to fix.

Keep the exported version identifiable. If someone changes a timesheet afterwards, the payroll team needs to know whether a revised file or a later adjustment is required. Repeatedly downloading similarly named spreadsheets without version information makes reconciliation harder.

  • Confirm period, employees and locations.
  • Resolve or explicitly flag outstanding exceptions.
  • Check approved hours and break treatment.
  • Record who reviewed the period and when.
  • Confirm the receiving payroll system’s required format.

What Staff Wing contributes

Staff Wing supports clock-in records, correction requests, manager review and supported payroll exports. It is not a full payroll service and does not itself guarantee the correct pay treatment. Check the export format and payroll requirements for your business before relying on a new workflow.

A useful first test is one ordinary shift, one corrected record and one overnight shift. Review the entries and compare the exported result with the approved records before expanding to the full team.
